To Export changes back to 251

You need to do this when requested in order that the changes you have made to your local copy of RR5 get put into the master database at 251

After you have emailed your exported changes to 251 you must not make any more changes or additions to your copy of RR5 until after you have received a CD update from 251 and imported it.

You can of course continue in the meantime to look at data in your copy of RR5, or run reports, but any changes you make will be lost. RR5 records the fact that you have written a letter to a client, so if you use your RR5 to write to someone before you install the update this record will be lost.

  1. Enter RR5 with your password: Note that case is important, normally everything is in capital letters
  2. Click on RR name (the ReadyRiter "banner")

 

  1. Click on "Export Changes"
  2. This makes RR5 export the changes / additions you have made. RR5 produces a series of files in the C:\RR5\RRBEXIM folder on your hard disk. It is these files that you will email back to 251 as an attachment.
  3. When RR5 says it has finished the export, close RR5
  1. If you have the "RR5 after export" short cut on your desktop, go to step 13 below... if not you must continue: Using "My Computer" or a short cut that has been put on your desktop, open the C:\RR5\RRBEXIM folder.
  2. Select all the files in it (up to 14 of them), but not any folders (shown as yellow folder icons) This is done by left-click on the top one, then hold the shift key down and click on the bottom one. The group should now be highlighted.
  1. Now you need to attach them to an email and send to mbrown@crosslinks.org  Right click the highlighted group and then left-click Send to and then Mail recipient. Outlook Express will open an email with the files shown as attached. 
  2. Type mbrown@crosslinks.org in the "To" field and send it. (Make sure you then go on line and do a "Send and Receive" in Outlook Express, or it will remain in your Outbox!)
  3. To prevent confusion next time you export files from RR5 you should now create a new folder in RRBEXIM and move the files you have just sent to 251 to it.
  4. In the RRBEXIM folder left-click on File, then New, then Folder. Name it YYMMDD according to today's date.
  5. Move the files you just sent to 251 to this folder. Do this by dragging them, individually or as a group
(Only if you have the "RR5 after export" short cut) 
  1. Double click on the icon. Confirm
  2. When instructed right click the "RRB5CHG.MB" file and and then left-click Send to and then Mail recipient. Outlook Express will open an email with the files shown as attached. 
  3. Type mbrown@crosslinks.org in the "To" field and send it. (Make sure you then go on line and do a "Send and Receive" in Outlook Express, or it will remain in your Outbox!)
