Register a new letter with ReadyRiter

Before you can use a letter in a mail-merge in RR5 it has to be registered, using the procedure below. Instead of registering a new letter you could consider: Modifying and existing letter

Copy an existing letter e.g AccessMMsample1.doc from the folder C:\RR5\Wordbits It is important that you start like this - don't just start a new letter in Word and expect it to work.

Save as xyz.doc (or any_other_name.doc but note the exact name, you will need it later)  in the C:\RR5\Wordbits folder

Open it in Word and modify as you wish. Don't change the merge fields (the bits that look like <<Tname>>) unless you are confident!  The merge fields mark the positions where the data specific to each client you select in RR5 will be placed

If you wish you can alter the positions of the merge fields. 

You can add a merge field if you want to (from the Word toolbar - see picture below, don't try to type them in)

Note that your letters will be printed with today's date on them.

Save your letter (it should save as the name and  have the location you gave it earlier). You might also want to save your letter outside RR for your records

Enter RR5 in normal way

Click on Letters, labels, emails

Click on Letters in Word. Screen on right opens:

Enter your new letter name (exactly! - but without the .doc), in the Name(.DOC) field and then a description that will be helpful to you

Tick "in use"

You should now be able use the new letter.
